Company Trip Policy

Our efficiency in management and field operation minimizes costs for the benefit of clients. This way we are able to make the price very reasonable yet maintaining high quality service. Our group tours/treks/expeditions and package trips are priced based on double occupancy and a stated minimum number of clients yet,  are guaranteed to operate with a minimum of two people.  Some of the price components like; government fees for special permits, taxes, airline  tickets, transport costs etc. are subject to change on some occasions.

 

Booking

Specify a trip or package, intended travel dates and communicate to Himaland or it’s representative in your any convenient mode – email, fax, phone or in person.  Your passport and contact details are required for processing the bookings. A reservation application is included with the brochure or we can send you one by post or  fax or email. Booking well in advance makes it easy to better organize the trip. So, we encourage you to make booking at least three months in advance.  A deposit of 20 % of the total bill amount is required to confirm your booking.  Total bill amount is due 3 months prior to trip departure.

 

Payment

The balance due has to be paid in full prior to departure of the trip.  The payment can be made by all major credit cards, bank swift wire transfer, cheque and cash in any  convenient way for you.

 

Cancellation  Fees  & Refund

Should you cancel your booking you must notify us in writing. On receipt of this written notice, cancellation will be effected. Cancellation Fees will be levied on the following percentage basis of the total cost; 20 % any time prior to departure, 50 % at least 30 days prior to departure, 75 % at least 15 days prior to departure and  100 % for less than 15 days prior to departure. In some cases, up to 20 % of the total cost may be refunded or transferred as a deposit for other trips.

 

Preparation

We will advise you step by step details for all trips so that you are well prepared mentally and physically and be free of all hassles. Upon confirmation of the booking, you will receive a detailed trip itinerary, information on preparing for your journey. Hotel contact list will be sent out approximately three weeks prior to departure. If you have some specific queries and enquiry regarding the trip, more information will be sent promptly upon request.

 

Fitness and Health

Depending upon the type of trip you undertake, physical fitness level varies. Cultural tours, pleasure and soft trekking trips are designed for all age groups who are reasonably in a good health condition and physically active. However, rigorous/strenuous trekking, adventure sports and mountaineering trips require a very good level of physical fitness and consent by your doctor (physician).

 

Insurance

Our stated price for your trips does not include your travel and personal insurance. For your protection, we highly recommend that you purchase insurance policy covering your personal medical expenses, emergency rescue by helicopter, baggage loss and trip cancellation on your own. If you need our assistance, we help you buy the policy.

Our local staff employed for your trips are insured under our company’s insurance policy.

 

Itinerary

The itinerary as programmed at the time of booking is followed in general. On occasion, it may be necessary to adjust the sequence of activities or hotels due to unforeseen circumstances beyond our control such as weather, natural calamity, airline schedule change, political disturbances, road detours etc.  Any extra costs incurred due to such changes should be borne by the clients themselves. No refunds will be considered on the basis of itinerary/route changes.

Note:

*    Himaland never had to drastically change an itinerary or trip program in our last 15 years of operation. On rare occasion minor logistical changes are needed due to changes in conditions.

*    We never have a dispute with our clients leading to the court of law or any regulatory body or business ethic council.
